You might notice a few differences this month. That is because, for the last two weeks, I have been quietly building a custom software application to handle our billing. This isn’t just a spreadsheet update; it’s a fully automated engine designed to make our admin seamless.
Because I have been busy building and testing this new system, these invoices are going out a little later than intended.
Please ignore the “Due Date” listed on this month’s invoice.
I appreciate your patience while we transition over to the new system!
To ensure this new system runs perfectly for the next billing cycle, I need everyone to update their Bank Payment Reference.
My new app works by “reading” your payment reference and automatically matching it to your dog’s attendance record. If the reference is generic (like “Doggy Daycare” or “Invoice”), the system won’t know who the money belongs to.
Please update the “Reference” field in your banking app to strictly be your dog’s First Name.
Format: Capitalized First Name.
Example: Dora or Gia or Kenna
Multi-Dog Households: Please list just 1 of your dogs names, e.g., Dora
Some of you already have this saved correctly (thank you!), but please double-check before your next payment.
Now that the system is live, the days of manual crunching are over.
Going forward, invoices will be generated with the click of a single button. The entire process now takes under 5 minutes, which means you can expect your invoices to arrive promptly on the 1st of every month.
